How to Expand Your Healthy Office Snack Program to Multiple Locations: An Expert Guide

So, your company is expanding to another location—congratulations! Growth is always exciting, but if you’re responsible for the employee snack program, it can also come with a lot of questions. How do you keep the snack experience consistent? Should every location offer the same products? And how can you manage everything without doubling your workload?

To help you do it, we spoke with Stephanie Araujo, a key account manager with The FruitGuys, and Julia Steward, a strategic account director at Crafty. Stephanie and Julia are experts at coordinating healthy office snack delivery to multiple locations. Here’s their best advice.

Set Your Foundation Before Expanding

“The most common mistake I’ve seen is scaling too fast,” Stephanie said.

Before expanding your employee snack program, it’s important to evaluate the current state of your program to understand what’s working and what could be better. Consider things like which products you offer, your daily headcount on heavy and light in-office days, your budget, the services you need, and who’s responsible for managing the pantry.

“I usually think about it as getting the foundation right first, then building a program that can grow without becoming more complicated every time you add an office,” Julia said.

Establish Shared Standards Across Locations

Before you start calling office pantry providers about your new location, map out exactly what you want it to look and feel like a year from now. When employees walk in, what do they see? A basket of fresh, colorful fruit? A giant fridge of every drink they can think of?

“Decide what should be consistent across offices, such as the categories offered, aesthetics, and service expectations,” Julia said.

At the same time, decide what doesn’t need to match. Things like budget, delivery frequency, and equipment can (and probably should) vary by location. Where can you leave room for each office’s personality to shine through?

Consider Each Location’s Norms & Preferences

As your company grows, every office you add will be different from your flagship. The new spot might have four times as many employees, or the team there might be used to five in-office days instead of three. Gather as much office pantry data on things like employee headcount and work patterns as you can, then ask the team at each new location about their snack preferences. A worksite in Nebraska will probably have different favorites than an administrative office in Los Angeles.

Julia told us that Crafty’s Texas office, for example, is all-in on hot sauce, while their New York City office likes on-the-go protein options. Similarly, some of Stephanie’s clients with The FruitGuys prefer familiar fruits like apples and bananas, while other teams are more excited by office fruit mixes with a variety of seasonal fruit that changes every week.

Things like the number of employees, when and where they work, and their snack preferences should all factor in when you’re deciding each location’s delivery frequency and product mix.

“When in doubt, ask your office snack vendor for their advice,” Stephanie said. “We’re the experts, and we can share our knowledge and experience to help you get the logistics right.”

Centralize Your Snack Program Management

Managing multiple locations can quickly become complicated if every office uses different vendors, ordering platforms, spreadsheets, and reporting processes.

When that happens, Julia said, “The workplace team ends up spending all its time trying to piece together what’s happening.” She added, “Companies often choose those separate solutions because they appear cheaper on the surface, but [in doing so they] overlook the hidden costs: the hours drained by stocking, managing inventory, placing orders, and doing the extra administrative work required to gather and reconcile reports. The program should become easier to manage as it grows, not harder.”

To keep your program organized as you expand, consider these centralized delivery solutions and management best practices:

  • Choose vendors that offer nationwide delivery. The fewer vendors you have to worry about, the easier your job will be, so choose a snack delivery partner that can serve all of your locations.
  • Establish clear ownership. Make sure all of your pantry teams report to the same person, so you know who the buck stops with.
  • Gather all of your data in one place. Use a shared system to organize orders, budgets, and reports instead of leaving each location to manage its own records. Whether that’s a simple Google Drive folder or a fancy pantry management system, it’s better than being scattered!

Remember, the goal is for things to get easier as you scale, not more complicated.

Avoid ‘Copying and Pasting’ Your Pantry

It’s so tempting to duplicate the exact same employee snack program that’s working in one location and plop it into another. But since every office is different, this rarely works as well as you’d think.

“It sounds simple, but offices have different headcounts, preferences, budgets, and even supply chains. You need enough consistency for the program to feel cohesive without forcing things that don’t make sense locally,” Julia explained.

Instead of the copy-and-paste method, make your best guesses based on the data you’ve gathered and plan to adjust as you go.

Stay Flexible and Keep Learning

As you prepare to launch healthy office snack delivery to multiple locations, remember that the launch date isn’t actually the finish line. It’s the start of Phase 2, which is monitoring your new employee snack program to make it better and better. Before you launch, get ready to do these things too:

  • Track your spending to make sure you’re staying on budget. Look at things like how much you spend per order and per employee per week. A pantry management system like Crafty’s can help you crunch these numbers.
  • Gather data on product and category performance. Keep an eye on which items disappear first, which ones linger, and how much is left at the end of the week or month.
  • Optimize your orders over time. Look for pantry optimization opportunities to swap higher-cost snacks for more affordable alternatives, switch to bulk orders to lower the cost per serving, and add or subtract variety based on what your team reaches for.
  • Keep an eye on headcount and attendance. If things change, you can adjust your order up or down proactively instead of when you have empty shelves or leftovers.

This might sound like a lot, but once you have a system in place, it will be second nature.
